General Maui Wedding FAQ’s

Why do I need a wedding planner and coordinator?
Because when you live thousands of miles away from a destination wedding location, you want the peace of mind that your getting quality, reliable and professional service from all involved your wedding. I have been helping brides since 1994, coordinating many weddings large and small and I will steer you in the right directions to help you avoid any pitfalls that could affect your big day that are unseen to you. I truly care about the success of your wedding and want to help give you the day you want within whatever budget you have.

How long have you been planning weddings?
Island Wedding Memories has been planning weddings in Maui since 1999.

What makes you different from other coordinators on Maui?
Where should I start……First off, because we only accept one wedding per day, (see next question below) this allows us to give our brides and grooms our full attention. Every bride and groom is special to me and deserves to be treated as such. I pride myself on having great communication with all of my brides, getting back to them with any emails or phone messages they have for me on the same day, or the next day if they contact me in the evening. I really feel that you are not a “number” or a “date”, but that you are important to me. Having planned weddings on Maui since 1999, we have established great relationships with our vendors of choice. This helps us to make your day a success.

I’ve heard a wedding planner can save you money, is this true?
Actually, Yes this is true. We have tricks that we have learned over the 18+ years of planning weddings that truly come in handy when it comes to saving money on your wedding. Additionally we are familiar with many of Maui’s top vendors, we can help you get the best value for your dollar by choosing one vendor over another. You will find that many vendors will charge you the bride more if you book directly with them than if we book them for you. Many vendors charge extra because they know that a bride that books direct will have lots of questions & requires more time, a wedding planner who books the same vendor can save as much as 1/4 to 1/3 of that cost because we already know all or most of the answers, thereby allowing the vendor more to their craft vs answering questions/concerns.

How many weddings do you accept per day?
To be able to give our brides and grooms our best possible service and full attention we almost always only accept one wedding per day. On very rare occasions/circumstances will we accept an additional wedding on the same day. Usually the situation is that we will have a morning wedding, then an evening wedding.

When I ask for a quote, why do you ask me what my guest count and budget is?
We ask this so that we can give you options on locations that will fit your needs.  For example if a bride is looking for a small wedding at a private estate with a budget too small to accommodate that, this allows me to offer other locations that will fit within her budget.  Or a bride may ask for an intimate wedding location with a guest count that is too large to accommodate that location, this allows me to offer other locations that will accommodate her guest count.  Additionally I pride myself in creating fully inclusive Wedding/Reception Quotes, this helps me to make certain that all fees/charges/gratuity, ect. are accounted for.

Will their always be a coordinator on location at my wedding?
Yes, ALWAYS. There are no exceptions. Even if you are small wedding with just the two of you in our smallest Forever Yours package.

How do I book my wedding with you?
Please use our contact page to call or email me. We will talk about your details together and I will create a customized Wedding Quote for you. Once you like what you see, you can put a non-refundable deposit of $500 down with us confirming that your date is reserved with us. Remember, just because you agree to a certain quote we give you doesn’t mean you can’t make changes to your wedding once we have your deposit. Click Here to see our policies page.

What do you charge for your services?
Our different packages have different rates, all packages are all inclusive with the exception of Hawaii State Tax of 4.166%. Additional items can be added for

What kind of weather can I expect for my wedding?
West Maui areas of Kapalua and Napili tend to get more rain. Whereas the South Maui areas of Kihei, Wailea, and Makena stay much drier.

Do you plan weddings on the other Hawaiian islands?
No, we are Maui Based and feel that branching out to the other islands (Oahu, Kauai, Big Island) would lessen the quality of our service. It makes sense that if you live there, then you have a greater grasp of the details of the wedding locations, reception locations, vendors, ect.

Do you carry liability insurance?
Yes we do. In order to apply for wedding permits for Maui beaches, the  state of Hawaii requires that you must be a fully insured wedding planning company. No insurance = No permits.  Also, most of the private wedding and reception locations as well restaurants require the wedding planning company to carry insurance.

Do I need to have a deposit down for your services before you will give me a quote?
Absolutely not! We will always give a customized wedding quote to anyone after we have discussed some of the details/wants of your wedding. I will also make adjustments until its what you want BEFORE you need to put a deposit down. But remember, your date isn’t fully secured/reserved until I receive a deposit.

Wedding Packages

Why do you offer only 5 wedding packages?
Because not all brides are the same, each with different personalities and tastes. Instead of offering and endless list of packages to choose from and having our brides and grooms possibly still not find one that fits there needs, we have these three to start from. The next logical question that may be popping up in your mind is answered below.

Can I add or take something out of a package?
Yes you can! In fact, we encourage it!  We want you to have the wedding YOU want. You can take items out that you may not want and add items you may want from the extensive A La Carte section of our web site. Just let me know and I will customize the quote for you.

Do I have to use a wedding package?
No, absolutely not! If you would like to create a wedding exclusively from our A La Carte section of the website, feel free. Just remember that there will be a 15% coordination fee added to each item. If you use a package, this is already built in.

Do you include beach permits in your packages?
Yes I do! It also includes a backup beach location in case of crowds or high tide. NOTE: If you are getting married at a private location, this will be deducted from your package.

Do you include the marriage license in your packages?
No we dont…you will need to pay the $65 fee when you fill out your application online…BUT we do set up the appointment for you and give you directions to the agent’s location. Although an additional $5 in CASH, for a marriage license agent service fee, must be brought with you and given to the marriage licensing agent.

How do I choose a photographer for my packages?
Forever Yours & Vow Renewal Package –

These packages don’t include a photographer. So if you want one, we can add it for you. Just Click Here and select the photographer of your choice from our recommendations on our photography page.

Simple Elegance Package –

This package includes one of our photographers basic 1 hour $500 photo package. If the photographer you like doesn’t have a 1 hour $500 photo package and/or you want to upgrade, then it can be used as a $500 credit to any of our photographers packages of your choice.

Maui Romance Package –

This package includes Anna Kim Photography’s Collection #1 Associate Photographer 1 hour Package OR Aihara Visuals 1 Hour wedding collection package. If you would like to pick another photographer’s package or a different package from Anna Kim or Aihara Visuals, we can substitute it for you and adjust the price. Just let us know. Island Passion Package –

Why do you have cider and not champagne in your packages?
Maui County law prohibits wedding coordinators from providing alcohol on the beach. This would also violate the rules of the beach permit. In accordance with the County of Maui’s policy of alcohol on the beach, we have replaced champagne with cider in all of our packages.This however doesn’t prevent you from bringing your own champagne or alcohol to a privately owned location and hiring our bar service. Call me for more information on this.We pride ourselves in following all state and county regulations to prevent any inspectors from having any reason to remove us from the beach on your special day. This does happen on occasion and if you have been told by other coordinators that you can have alcohol on the beach for your wedding, you have been misinformed and run the risk of being removed from the beach. Possibly during your ceremony. If you chose Island Wedding Memories, this will never happen.

Wedding Locations

What’s the difference between South Maui and West Maui?
This is a question I get a lot. I will try to answer this question as objectively as I can. But in my opinion with many years living on Maui, as well as experience in coordinating weddings on both sides of the island, I definitely do think that South Maui has a bit more pros and few less cons and would recommend it over West Maui. Although both sides are beautiful and its really a matter of preference. Many of our Brides and Grooms have been coming to Maui for years maybe even with family since they were young staying on one side or the other and they may just prefer one side over the other because of familiarity. You really can’t go wrong with either side of the island. They are both great. We are really splitting hairs. But if want an opinion based on my experience, there you have it.

SOUTH MAUI (Kihei, Wailea, Makena)

PROS:
1. More beach permit options for your wedding
2. Sunset views not blocked by the smaller islands off of Maui
3. Since there are more beach options = Less chance for crowds or other weddings
4. Quieter, more relaxed atmosphere, less tourists and traffic
5. Less chance of wind at ceremony/sunset time
6. Less chance for rain

CONS:
1. Not as much nightlife/party atmosphere for after wedding partying
2. Slightly less choices for restaurants, but not by much

WEST MAUI (Olowalu, Lahaina, Honokowai, Kahana, Napili, Kapalua)

PROS:
1. More nightlife/party atmosphere for after wedding partying
2. Slightly more choices for restaurants, but not by much

CONS:
1. Less beach permit options for your wedding
2. Sunset views can be blocked by the smaller islands off of Maui
3. Since there are less beach options = More chance for crowds or other weddings
4. Busier atmosphere, more tourists and traffic
5. More of a chance for wind at ceremony/sunset time
6. More of a chance for rain (especially in Napili and Kapalua)
7. Many of our vendors have a West side drive fee since most live on the other side of the island
8. There is only one main road to West Maui, if there happens to be an accident, vendors can be late causing your wedding to be behind limiting your time for sunset photos. This honestly does happen a handful of times per year.

Is it common to stay in West Maui but have my wedding and reception in South Maui?
Yes, it is very common. It’s not a problem if you would like to do this. Please see the question above for the differences in South Maui vs. West Maui.

What’s the difference between a public and private location?

PUBLIC LOCATIONS:
Beaches and parks are public locations. You could have beach and park goers as well as other weddings taking place at the same time as yours. This means less privacy. Although the beach permits only allow a certain amount of weddings on a particular beach per day. However I will work with you to find a beach that is “off the beaten path”. There are beaches that have less crowds and weddings on them and are as amazing as the most popular beaches for weddings. Another benefit of having a wedding coordinator who lives and has years of experience planning weddings on Maui!

PRIVATE LOCATIONS:

These are paid locations that you rent by the day, hour, or block of time. They are completely private, in the case of estates, or semi-private in the case of some of the bigger resorts. Just because you rent an outdoor space for your wedding at a resort doesn’t mean you will have complete privacy. There may be other resort guests walking around on the outskirts of your event.

What’s the difference between renting a private estate or a location at a resort for my wedding and/or reception?

PRIVATE ESTATE:

A private estate means just that…private! You have the estate for the whole day, although there are some options to rent it for periods of time. You won’t have anyone gawking or otherwise bothering you. We highly recommend this for your wedding if you can possibly do it. We can get much more out of your budget at a private estate than at a resort. We can bring in a caterer for a fraction of the cost of food and beverages at a resort. See below…

RESORT:

At a resort you can rent an outdoor location for your wedding or reception on resort property. But  just because you rent an outdoor space for your wedding at a resort doesn’t mean you will have complete privacy. There may be other resort guests walking around on the outskirts of your event. At most of the resorts you can rent a ballroom for your reception that guarantee’s privacy, but really, why come to Maui to get married and have your reception in a ballroom. That ballroom would look the same as any hotel ballroom in any city in the U.S. Just my humble opinion…..Also, resort prices for food and beverages are VERY expensive. Just to give you an idea, a bottle of Martinelli’s Sparkling Cider at one large resort in South Maui will cost you $28.50 PLUS 20% gratuity! It’s about $3 at our local supermarket. We are not saying that a resort wedding is not beautiful. In fact, we have some of the best resorts in the world and we will gladly plan and coordinate your wedding at a resort. We have a number on them listed in our location page, but its just we think there could be better options for some couples based on budget and privacy considerations.

Can I have chairs at my beach wedding?
No, state law prohibits chairs for your wedding on the beach. The only exception is that a limited number of chairs are allowed as strictly necessary for the support of elderly, infirm, or disabled persons attending the event.

Can I have archways, canopies, tiki torches, or any other type of prop at my beach wedding?
No, none of these items or props are allowed. Items that ARE allowed for use during your wedding are as follows:

Loose Flowers (Loose flower aisle runner, flower circle or heart)
Leis, Corsages, Boutonnieres, or Bouquets
Unamplified Musical Instruments (Guitars, ukulele’s, harps, violin’s, conch shell, ect.)
Doves or Butterflies For Releases
Camera and Camera Equipment

If there is something not on this list that you would like to have during your wedding, please ask and I will let you know if its allowed.

Can I have a small dinner or a reception right on the beach after my wedding?
No, the permits do not allow for catered receptions or dinners on the beach. The rule is; if you pay someone to perform a service for your wedding on the beach, you must have a beach permit. And the beach permits do not allow for tables, chairs, plate ware, catering equipment, tiki torches/lighting, ect.

Now if you want to bring your own hibachi (small grill) and Bar-B-Q your own food and have your own little get together on the beach completely handled by you and your family privately (No money paid to any business), that’s up to you. You would be just like a normal beachgoer who came to the beach and brought your own food, ect. Obviously, 99.9999% of brides and grooms would not really want to do this, but it is within your right.

Is it common to have other weddings going on while my wedding is in progress on the beach?
It can be depending on the beach that you choose. A permit allows for a limited number of weddings per day, per beach. So it all depends how many permits are pulled for that beach on that particular day. Sometimes it will only be yours or it may be that all the available permits are pulled for the day. But then it would depend on the times requested whether or not you would have any other wedding going on at the same time. Its just the luck of the draw.

This is where my knowledge and experience comes into play about which beaches are more likely to have weddings or beachgoers on them and at what times of the day and year among a number of other factors. This is where taking the advise of your coordinator is so important. Part of my job is to help you minimize the possibility of intrusions by as few other weddings and beachgoers as possible. But it would be impossible, unrealistic, and unprofessional to say you will absolutely not see any other weddings or beachgoers during your ceremony. It could happen.

If I choose a beach location for my wedding, how do I prevent other weddings or beachgoers from being there?
We can’t. There are a certain number of permits available per day per beach. Its just the luck of the draw whether there are other wedding permits pulled. As far as beachgoers being on the beach, that’s the luck of the draw too. They have just as much right to be their as you do. Remember, these are likely people who have also paid thousands of dollars to come to Maui on vacation and enjoy the natural beauty as well. They must be shown consideration.

This is where my knowledge and experience comes into play about which beaches are more likely to have weddings or beachgoers on them and at what times of the day and year among a number of other factors. This is where taking the advise of your coordinator is so important. Part of my job is to help you minimize the possibility of intrusions by as few other weddings and beachgoers as possible. But it would be impossible, unrealistic, and unprofessional to say you will absolutely not see any other weddings or beachgoers during your ceremony. It could happen.

Can we ask people on the beach to move?
No, its against the rules of the beach permit. They have just as much right to be their as you do. Remember, these are likely people who have also paid thousands of dollars to come to Maui on vacation and enjoy the natural beauty as well. They must be shown consideration.

But I will say that most, I repeat, MOST, but NOT ALL people are very respectful and realize the importance of the occasion and will voluntarily move when they see a wedding in close proximity to them. BUT WE CANNOT ASK THEM.

Can I have amplified music at my wedding or reception and for how long?
PUBLIC LOCATIONS:
No, you cannot have amplified music. This is against the beach permit rules. But you can have unamplified music with the instrument of your choice. (Guitar, ukulele, violin, harp, ect.) You can have the unamplified music for the length of time you have reserved your permit for.

PRIVATE LOCATION:
Yes, the private locations will allow you to have amplified music. Most of them allow it until 10pm. (this is when by county law, the music needs to stop) Each one has slightly different rules, so I will be able to give you those details during the planning process.

If the music has to stop at 10pm and we still want to dance and party, what do we do?
I can give you a number of options for an “after party”. I have cultivated a number of relationships with certain establishments. So if I can guarantee them the business, some of them will keep there live entertainment going to even later hours. Contact me for more information.

Do you hire an assistant for your larger weddings, and do we pay for that?
Yes, I do have an assistant with me on all of our larger weddings. If I feel that more than one assistant is needed then I will have multiple assistants with me. No, you are not charged extra for this. It comes out of the coordinator fee that you pay me.

What happens if it rains on my wedding day?
Obviously, rain can happen at any destination wedding location in the world and there’s nothing we can do to stop it if it decides to happen. But Maui is known for its great weather, so the chances of it happening is low, BUT it could happen. Here are the options we have in case it does rain. And remember there is a difference between just isolated cells of clouds that drop there rain for 10-20 minutes (this is the most common of the two) and a full blown rainy day encompassing the whole island (This is much more rare, only happening a handful of days a year) .

PUBLIC LOCATIONS OPTIONS:

1. Because of the relationships I have developed over the years I do have access to a very nice covered location in case you have a beach location and it rains on your wedding day. But this location is not automatic. There is a chance that this location, which also hosts outdoor weddings, may need to use it.
2. Your beach permit allows for a backup beach. The nature of rain on Maui make it possible that it may be raining at one beach and a half mile/one mile away at your backup beach, its not raining. If this is the case, we will just move your wedding to the backup beach.
3. Again, with the nature of rain on Maui, sometimes if you just wait a few minutes, the rain will stop. Obviously, we will make that judgment at that time based on visible conditions.
4. We can move your wedding to the next day if possible.
5. We have a number of umbrellas for use if your determined to go for it.

PRIVATE LOCATION OPTIONS:

1. All private locations have some form of covered area that may be used in case of rain. (house, ballroom, lanai, ect.) We would just transfer your wedding to there.
2. In the case of a private estate with a house like Honua Kai Lani or the Olowalu Plantation Estate, it may only hold a certain amount of people comfortably. If you have a larger guest count than the house will hold in case of rain, we STRONGLY suggest renting a wedding tent for your event. We have several different tent options such as a clear top tent, and they can be decorated very beautifully. Even if you want to have your reception under the stars and not use the tent, that’s fine, but it will be there in case we need it. It only takes a 5 minute strong downpour to ruin all your tables with food, place settings, favors, and tablecloths, thus ruining your wedding. If you are having an estate wedding I will discuss these details with you. Remember, I am here to ensure the success of your wedding.

Why do most of your vendors have a drive fee for doing West Maui weddings?

It’s because 75% of all weddings take place in South Maui. Most of the vendors live on that side of the island and its a 45 min-1 hour drive to West Maui.

I don’t see a location listed on your website that I want, can I still have my wedding at that location?
Yes, that’s not a problem. Please contact me and I will make it happen. We have our favorite sites that we recommend based upon our experience. So we don’t have EVERY possible site listed. Remember too that I do not list several beaches on our website on purpose so as to try and keep them more private.  Also their are some beaches that you cannot get a beach permit for.

I have heard it can get windy in Hawaii. Will there be wind during my ceremony?
Hawaii is located in the middle of the Pacific Ocean in a tropical zone. This is one reason why we have great weather all year round as well as stunning beauty throughout the islands. But also because of these factors we have normal trade winds that usually come up in the afternoons averaging between 10-20 miles per hour. This helps to keep our islands from getting to hot, keeping the temperature at a moderate level. Obviously we have no control over the natural elements such as wind. But I will tell you that the wind usually dies down in the late afternoon and it becomes much calmer by the time of most ceremonies and really dies down by sunset time. But obviously we can’t guarantee this. Their may be days where you will have some wind through sunset time.

But based on my many years of experience coordinating weddings here on Maui, I know which areas and beaches are less windy or more protected by natural barriers such as rock outcroppings or foliage. If you are really concerned about the wind, I will work with you to choose a beach that’s right for you.

How do I know the vendors you use are of quality and professional?
You can be assured of the professionalism & quality of the vendors we use. We have been coordinating weddings on Maui since 1999 and have establish a number of very good relationships with quality, trustworthy, licensed & insured vendors with a proven track record and reputation. Being here on Maui coordinating weddings regularly, we have been able select the quality vendors from the pretenders, assuring you of the best possible wedding experience.

I don’t see a vendor that I would like to use listed on your website, can I still use them?
Yes, it’s possible. But remember, being here on Maui coordinating weddings regularly, we have been able select the quality vendors from the pretenders, assuring you of the best possible wedding experience. So when you have a vendor that you are gravitating toward that we don’t have listed, there may be a reason we don’t recommend them. (reputation, punctuality, cost, service, professionalism, among many other factors) Please let me know what vendor you are thinking about and we can discuss the details.

Can I create my entire wedding from your a la carte page and not use a package?
Yes, absolutely! If you would like to create a wedding exclusively from our A La Carte section of the website, feel free. Just remember that there will be a 15% coordination fee added to each items. If you use a package, this is already built in.

Beach Permits

Why do I have to have a beach permit for my wedding?
In short, because it’s Hawaii state law.

Can’t I just get my own beach permit?
No. To get a beach permit, you must be a business carrying current liability insurance. The rule is; if you pay someone to perform a service for your wedding on the beach, you must have a beach permit, and only one of the business’ with insurance can get one.

What does the beach permit include?
It includes the right to have your wedding ceremony on the beach that you purchase the permit for. Depending on how much you pay, it includes a certain amount of space on the beach, and a set time period. Remember, it doesn’t reserve a specific spot on the beach, but you choose a spot once you get to the beach. You cannot ask beachgoers to move. This is on a first come basis.

Does my beach permit allow me to have no other weddings on that beach at the same time?
There are a certain number of permits available per day per beach. Its just the luck of the draw whether there are other wedding permits pulled. As far as beachgoers being on the beach, that’s the luck of the draw too. They have just as much right to be their as you do. Marriage License

Do I need to be a resident of the state of Hawaii or the US to get a marriage license in Hawaii?
No, there are no residence or citizenship requirements.

What is the legal age to marry in Hawaii?
The legal age to marry is 18 years for males and females. However, with the written consent of both parents, legal guardian or family court, the male or female may be married at 16 or 17. Males and females at age 15 may marry with the written consent of both parents or legal guardian and the written approval of the judge of the family court. The parents or guardian do not have to reside in the state. Consent forms may be obtained from the marriage license agent.

Do I need to bring a form of identification with me to get my marriage license? Yes, for anyone 19 and over, proof of age may be requested in the form of an I.D. or driver’s license. A certified copy of a birth certificate must be presented for anyone 18 and under.

What about blood relationships?
Cousins may marry, but a blood relationship between the prospective bride and bridegroom cannot be closer than first cousins (for example: uncle-niece, half-brother-sister may not marry).

Do I need a blood test to get my marriage license?
No, blood tests are not required in the State of Hawaii.

Where do I go for my marriage license?
I will give you all the details during the planning process of your wedding.

Do we both need to be present to get our marriage license?
Yes, both parties to the marriage must appear personally before the marriage license agent. Proxies are not allowed. Applications may not be mailed in to the agent.

Do we have a certain amount of time to actually get married after getting the license?
The marriage license is good for 30 days from and including the date of its issuance, after which it becomes null and void; must be used only in the state of Hawaii and is valid throughout the state.

What is the cost of the marriage license?
It is $65, which can be paid online when you submit your application.  Also, an additional $5 in CASH, for a marriage license agent service fee, must be brought with you and given to the marriage licensing agent.

Does a minister or officiate need to be licensed by the state of Hawaii to perform the ceremony?
Yes, absolutely!

Also, if you would like to bring your own minister or officiate from out of the State of Hawaii to perform your ceremony, HE/SHE MUST BE LICENSED BY THE STATE OF HAWAII. I can’t stress this enough. Even if he/she is licensed to perform weddings in your area, they are NOT able to perform weddings here without a STATE OF HAWAII license. Even if they swear up and down to you that their local government says they can and it’s OK……THEY CAN’T.

Can I NOT get married in Hawaii, but take my marriage license back to my home and use it to get married?
No, the marriage license is only good in the State of Hawaii up to 30 days after issuance.

Bouquets

Can you color customize my bouquet to the colors I want?
Yes, however not all flowers are available in the color of your choice.  Please contact me for assistance on this.

If I provide you with a small family photo, piece of jewelry, or small trinket, can you include this into my bouquet?
Yes, please give it to me at either at your site inspection or wedding day.

What if I have purchased the Maui Romance wedding package and I want a bouquet that is worth more than $150.00?
Feel free to choose any bouquet you want. The first $150.00 is included in your package. You just pay the difference.

Can I send you a photo of a bouquet that I found in a magazine or on a website and have you re-create it?
Yes, Our florist is amazing and can create just about anything as long as the flowers are available.

Leis

I know its Hawaii, but what’s the big deal about having leis at my wedding?
Giving leis have been a part of Hawaiian culture and tradition for many generations. They are a symbol of Aloha. Aloha means many things in the Hawaiian language. It means love, hello, and goodbye. Having leis as part of your wedding really adds to the atmosphere and ambiance of your special day. The ministers or officiates that we use all have a lei exchange as part their ceremony if you so choose to include it. We recommend that you do. Not only can you exchange leis with each other as bride and groom, but you can also include your wedding party, family, and guests if you would like.

For the groom and groomsmen, should I choose a lei over a boutonniere?
We recommend the lei over the boutonniere if they are wearing anything other than a suit or tux. Boutonnieres don’t sit well on just a shirt. There just isn’t the support that a suit or tux jacket gives. They tend to just flop around on a shirt. But if the groom or groomsmen are going to be wearing a suit or tux jacket then a boutonniere is a good choice.

Can I take my leis home with me?
Yes, most flower leis can be taken back to your hometown on the plane.

Do you have allergy friendly leis?
Yes, we do! Just let us know and our florist will tell us whats available.

Head Haku Leis, Butonnieres & Corsages

Is it OK to wear a head haku lei as well as carry a bouquet?
Yes, it’s fine. Some brides have thought that this is “flower overkill” or not within normal etiquette, but its not a problem.

Can you make my head haku lei to match my bouquet?
Yes, our florist can!

Do you need me to send my head measurements?
Yes, please give me your head measurement just over the eyebrow two weeks before your wedding.

Can you make smaller head haku lei’s for flower girls or my daughters?
Yes, we can! You’ll notice child prices on a number of our head haku leis.

For the groom and groomsmen, should I choose a lei over a boutonniere?

Can we have an archway, canopy or chuppah on the beach?
No, none of these items or props are allowed.

NOTE: HANDHELD chuppahs that are not attached to the sand ARE allowed. They can be held up by family or those in your wedding party. But stationary chuppahs attached to the sand are NOT allowed.

Items that ARE allowed for use during your wedding are as follows:

Yes, a loose rose petal or orchid aisle runner is allowed on the beach for your wedding. I even clean it up for you!

Can I choose the color of the rose petals or orchids for the aisle?
Yes you can! Just let me know the color you want.

Can I bring my own silk rose petals or orchids from home to use for my aisle?
No, we do not allow that. With the trade winds here on Maui, a few of the flowers in your aisle tend to blow away. Silk flowers are not bio-degradable and will harm the environment or animals on land as well as in the ocean.

Do you offer an extra “thick” rose petal or orchid aisle runner?
Yes we do! Please contact for a quote.

Chair Decor and Rentals

Can I have chairs on the beach for my wedding?
No, state law prohibits chairs for your wedding on the beach. The only exception is that a limited number of chairs are allowed as strictly necessary for the support of elderly, infirm, or disabled persons attending the event.

If I find a picture of chair flowers in a magazine or on the internet, can you duplicate it for me?

Can I or my guests take the table arrangements back to my hotel or condo and enjoy them after my wedding?

If I supply the glassware that I want, can you make the arrangements in them?
Yes we can!

Can I have tall table arrangements outdoors?
Due to the unstable nature of some of our tall table arrangements, we don’t recommend certain ones for use outdoors because of wind. Even very light wind will knock them over. Please call me for more details.

Do you offer table arrangements with LED lights in them?
Yes we do. We have LED lights in several different colors. We also have water proof LED lights.

Can I keep the LED lights?
No, they are a rental and must be returned to avoid a charge.

Do all photographers offer the same packages?

Do I have the photo rights to all of my photos?
Only if you purchase the high resolution CD of all your photos. Any low resolution photos that are sent to you are only for choosing what photos you would like for your album, web viewing, and social media. They are not high quality images for reprinting.

Do your photographers require a deposit?
Yes, some of them do. Contact me for more information.

Can I select which shots I want to have taken?
Yes, please feel free to provide a list of what you would like.

How long will it be until I receive my photos?

Formal Wear

Can I have my gown shipped to you?
Absolutely, yes! But please call or email me that this is what you would like to do so I can expect it. There have been times where I have received a box with a dress in it and it doesn’t have my brides name on it and I have no idea who its from.  So please make certain to have your name printed on the outside of the box.

Can you get my gown pressed and delivered to where I am staying?
Yes, absolutely!

What do groom’s normally wear for Maui weddings?

BEACH LOCATIONS
Almost no one wears formal attire to the beach like tux’s or even suits. But you can if you like. Most wear what I would classify as “Tommy Bahama” style. Google “Tommy Bahama Wedding Attire” or “Beach Wedding Attire” for ideas.

ESTATE OR PRIVATE LOCATIONS
Most wear a wide variety of attire, from tux’s and suits to the more casual “Tommy Bahama” style.

Can I wear high heels in the sand for my beach wedding?
I recommend bare feet or sandals. Heels will sink in the sand.

Can I wear high heels at an estate location?
Yes, however I would advise wearing wedges or sandals. These will prevent you from sinking into the grass.

Ministers and Officiates

Can I choose what minister or officiate I want for my wedding?

Can I write my own vows?
Yes, absolutely!

What kind of ceremonies do the ministers and officiates perform?

Musicians and Entertainers

Can I bring an I-Pod and speakers and play music on the beach for my wedding?
No, you cannot have amplified music on the beach. This is against the beach permit rules. But you can have unamplified music with the instrument of your choice. (Guitar, ukulele, violin, harp, ect.) You can have the unamplified music for the length of time you have reserved your permit for.

If I am at a private estate or location, and a DJ or live music isn’t in my budget, can I bring an I-Pod to play music for my reception?
Yes, that’s fine. Most small speakers you hook up to your I-Pod will not be good enough for an estate wedding reception. So we offer an amplifier, speakers, and mic setup for you if you would like. Remember, if you don’t have a DJ or live music, you may want to have someone like your best man/maid of honor or another family member or friend M.C. your event. Please contact me for more information.

What time does the music and entertainment at a private estate or location have to stop?
10 pm. These are not only the rules of all the private locations, but it’s Maui County law as well.

 Musicians

Do the classical musicians sing in addition to playing their instruments?
All of our classical musicians do not sing except for Celia Canty, our harpist. She is a trained opera singer and can sing only if requested.

Do your classical musicians play Hawaiian music?
They can, and some do have Hawaiian songs in their repertoire, but they focus on playing classical and contemporary pieces.

Can you arrange for a classical trio or quartet?
Yes we can! Just contact me for more information.

Can your harpist come right on the beach for my wedding?
Yes, most of the harps come right on the beach for your ceremony.

If I have a piece of music your musician doesn’t play, can they learn it for my wedding?                       Yes they can! But there is a fee to learn a new song and they need notice so they have time to learn it?

Do your Hawaiian guitarist/ukulele players sing in addition to playing their instruments?
Yes, most of them do! Hawaiian music is beautiful when sung. The minister or officiate will even make time to have the Hawaiian musician sing something during your ceremony.

Do your Hawaiian musicians play classical pieces like “Pachelbel Cannon”?
Usually no, but some have a few classical pieces in there repertoire. Contact me for more information.

Do your Hawaiian musicians play “The Hawaiian Wedding Song” and “Over The Rainbow”?
Yes, absolutely!

Private Luau Shows

Can I create my own private luau show for my reception?
Yes, absolutely! You can have a Hawaiian band, both male and female hula dancers, a fire knife dancer, and drummers. Everything that a traditional Hawaiian hula show has. Your show can be as elaborate or as intimate as you want it. Please contact me for more information.

Can I just have Hawaiian musicians and hula dancing?
Yes you can. You can have a solo, duo, trio, or as many dancers as you would like.

Can I just have a Fire Knife Dancer without the rest of the luau?
Yes you can. The fire knife show by itself is about 20 minutes long and includes drummers.

DJ’s

Can your DJ get any song I want?
Yes he can. If it can be purchased on I-Tunes or at a store, he can get it for your wedding.

But if I have a special song that can’t be purchased on I-Tunes or is not part of the mainstream, can I have it played?
Yes, just bring it on a flash drive to the wedding and he will play it.

Why do you have only one DJ listed on your website? What if he’s booked on my wedding day?
Because he is, in our opinion, the best DJ on Maui. In my experience, not all DJ’s have the same level of quality, professionalism, and experience. Remember, the DJ is an important part of your wedding reception. He is the MC. He (and I, as your coordinator) have a lot to do with the timing and flow of the reception. Many DJ’s tend to talk to much. We feel that your reception is not a forum for the DJ to hear his own voice. If our primary DJ is already booked on your wedding day, we have a couple of others that we like to use as well.

Audio / Visual

Do I need sound amplification at my ceremony? (Private location only, not allowed at beach)
We do recommend it. But it may not be necessary in every situation. It depends on several factors. Please contact me for more information.

What kind of microphones do you use?
Small, unobtrusive lapel mics are used for the ceremony. They are attached to the groom and ministers/officiates clothing with a small battery pack attached to the belt under the shirt against the back. These two mics will pick up the voice of the bride clearly.

Do I need sound amplification at my reception?
It depends on a number of factors. We will discuss this in the planning process. If it is decided that you do need sound amplification for your wedding, then if you have a DJ or a live band,  NO you will not need to rent additional sound amplification.

Transportation

Limousines

Can I order a limousine for only one hour?
No, there is a two hour minimum imposed by the limo company. This is standard with all the limo companies on Maui.

How many people are allowed in the limousine?
A max of 8 persons.

Do the limousine’s provide a stocked bar?
Yes, there is a limited bar for your enjoyment. Over 21 please.

Can I bring my own alcohol in the limousine?
Yes you can.

What happens if I go over the amount of time I paid for?
We will charge your credit card on file for the overages and send you a receipt. What we do in case of overages or extra items ordered on the day of your wedding will be discussed with you.

What color are the limousine’s?
Unless otherwise stated, white will be used, but black is available on request.

Can I just order a sedan if I don’t want a limousine?
Yes you can. The sedans hold two persons.

Shuttles

Why would I need a shuttle for my wedding?
Due to limited parking at the private estates, if you go over a certain guest count, you are required to shuttle your guests into the location. Also, providing a shuttle service for your guests allows them to enjoy alcohol if they choose at your wedding while not worrying about having a designated driver.

What size shuttles do you have?
14, 25, 57, and 65 passenger options. Call me for more information.

Can I take alcohol on the shuttles?
NO, you cannnot.

Can one shuttle pick up guests at different hotels and condos?
Yes, a shuttle can make multiple pick up’s and drop off’s.

Pampering

Hair

Will the hair stylist come onsite to my hotel room or condo?
Yes, we can arrange that. In fact, its preferred.

If I found a hairstyle I like in a magazine or on the internet, can the stylist create it for me?
Yes, that’s actually recommended. Just send me the photo by email no later than two weeks before your wedding.

If I want to have an orchid or another type of flower in my hair, can you provide that for me?
Yes, just let me know what flower you would like.

Makeup

Will the makeup artist come onsite to my hotel room or condo?
Yes, we can arrange that. In fact, its preferred.

Do I need to provide my own makeup?
No, our makeup artist have everything needed. However, if you have a unique color that you want to use, please bring it with you.

Can the makeup artist apply eyelashes?
Yes, eyelashes for the bride are included in the price of her makeup. However, it’s not included in the bridesmaids\guest makeup price.

My friends and I have used makeup artists in the past and have had some bad experiences. Will I have one with your makeup artist?
No, you won’t. Our makeup artist has been working with us for years and will apply your makeup in a way that will enhance the pictures and video of your wedding.

Manicure and Pedicurist

Will the manicurist or pedicurist come onsite to my hotel room or condo?
Yes, we can arrange that. In fact, its preferred.

Gown Pressing

Can you get my gown pressed and delivered to where I am staying?

No, they need to get home before it gets dark!

Tent Setups

What styles of tent do you offer?
We offer clear top, white pole, and white high peak frame tents.

What size of tent do I need for my guest count?
The size of tent depends on a number of factors besides guest count. Such as whether you have a dance floor, types of tables used ect. Call me for more information.

I want to have my reception under the stars, so I don’t really want a tent for my estate wedding.  Why do you suggest that I get one?
Because I care about the success of your wedding.

Rain can happen at any destination wedding location in the world and there’s nothing we can do to stop it if it decides to happen. But Maui is known for its great weather, so the chances of it happening is low, BUT it could happen.

All private locations have some form of covered area that may be used in case of rain. (house, ballroom ect.) We would just transfer your wedding to there in case of rain. But in the case of a private estate with a house like Honua Kai Lani or the Olowalu Plantation Estate, it may only hold a certain amount of people comfortably. If you have a larger guest count than the house will hold in case of rain, we STRONGLY suggest renting a wedding tent for your event. We have several different tent options such as a clear top tent, and they can be decorated very beautifully. Even if you want to have your reception under the stars and not use the tent, that’s fine, but it will be there in case we need it.

It only takes a 5 minute strong downpour to ruin all your tables with food, place settings, favors, and tablecloths, thus ruining your wedding. If you are having an estate wedding I will discuss these details with you.

Dance Floors

Do all private locations require a dance floor for dancing?
Yes they do for insurance and safety reasons. FYI – one of our private locations includes a cement area that is used for a dance floor. If you choose this location and use this area, you don’t have to rent a dance floor.

What size of dance floor do I need for my guest count?

Dance Floor Size & Guest Count:

12×12 – 30 or Less Guest Capacity

12×16 – 31 – 60 Guest Capacity

Lighting can come from Chinese lanterns, twinkle lights strings, Uplights and candles on the tables. We also have several different options for tent lighting. Please contact me for more information.

Do you offer wedding favors?

Yes, we offer several different types of favors commonly used at Hawaiian weddings. Let us know what you have in mind and we can give you a quote.

If I order wedding favors through you, how far in advance do I need to order them?
Usually I need at least a month’s notice. Please check with me for more information.

If I bring my own wedding favors, can you put them on the tables?
Yes, but I need ADVANCED NOTICE….. I can’t be surprised by favors I didn’t know about on the day of the wedding.

Can you put a personalized label on the favors?
Yes, but I need at least two weeks advanced notice.

Can I use my wedding favors as seating placards?
Yes, but please provide me the details of the seating and names at least one month before your wedding.

Yes we can. We can also make it whatever size you need. Please provide me the photo.

Can you put flowers on my cake and what kind of flowers can I add?
Yes you can. Almost any kind of flower can be used. We usually match your cake flowers to your bouquet.

Can my cake be served on the beach after my beach wedding?
They can, but we highly recommend against it.

Receptions, Restaurants, and Catering

Can’t I just call and make a reservation for 20 or just walk into a restaurant with my group of 20 guests and have my reception dinner?
NO, 99% of the restaurants on Maui require a set menu for groups over 12. Please contact me for more information.

Can I go to a luau for my reception diner?
Yes, we can arrange it for you. Please be aware that luau’s start about one hour before sunset. So you won’t have sunset photos. We would recommend a morning or mid afternoon wedding if you want to have your reception at a luau.

Deposit, Payment Info and Policies

Do I have to put down a deposit for your services and how much is it?
Yes, you must put a non-refundable deposit of $500 down with us confirming that your date is reserved with us. Click Here to see our policies page.

How soon should I put my deposit down?
As soon as possible. Your date is not reserved until we have your deposit.  We only accept 1 wedding per day, so reserving your date is on a first come basis.

What do you charge for your services?
Our different packages have different rates, but they all include our 15% coordination fee. Any items added to your packages or any wedding created exclusively from our A La Carte page will have a 15% coordination fee added to it.

What is your payment policy?
1. A non-refundable deposit of $500 is required to reserve the date with us. Some of our vendors may also require separate deposits.
2. 1/2 of the remaining wedding balance is due 30 days before your wedding date.
3. The final 1/2 of your wedding balance is due 14 days before your wedding date.

Do I have to sign a contract?
Yes, we have a contract that must be signed for us to accept your wedding.

Can I pay the full amount for my wedding earlier?
Yes you can. Our cancellation policy will still apply the same way, even if you pay early.

If you cancel your wedding 15-30 days prior to your wedding date, half of your wedding total will be refunded (except deposit).
If you cancel your wedding 14 days or less from your wedding date, no refunds will be made.

What happens if I want to cancel before my wedding date?
You can, but keep our cancellation policy in mind.

Can I still add or cancel certain items after I’ve made my deposit or payments?
Yes, you can add items to your wedding all the way up until the moment your wedding is over.

Items can be cancelled without charge up to 30 DAYS before your wedding. But items cancelled inside 30 days before your wedding will still be charged. So we ask that everything be finalized 30 days prior. We will contact you before this point to confirm everything with you.

What if I order additional services from you the day of my wedding, how do I pay for that?

After your wedding we will charge the card we have on file for any additional items ordered the day of your wedding and send you a receipt. During the planning process we will explain this to you and have you sign a credit card authorization form.
